Role Overview: As an Administrator / Retail Property, you will collaborate closely with our Retail Management team. Your pivotal role involves providing essential administrative support, managing tenant relations, and ensuring the efficient operation of our retail properties. You will help maintain accurate records, coordinate property maintenance, and assist with financial management, ensuring compliance with all relevant regulations. Key Responsibilities: Reporting to the National Portfolio Manager you will be responsible for: Manage the diary for Retail Management team members. Record and update meeting minutes, ensuring timely follow-up on action items. Organise and streamline email communications for Retail Management. Handle incoming calls, ensuring accurate message relay. Coordinate travel arrangements for Retail Management and team members, including itinerary preparation and property details. Assist in monitoring departmental performes, protocols, and compliance efforts. Schedule regular performance reviews and maintain contact lists. Review and optimise electronic filing systems for property management. Prepare reports and presentations as required. Perform general administrative duties. Fulfill other ad-hoc requests from Retail Management or team members. Are you someone with? Proven experience in EA, PA, or administrartive roles, preferably within a busy and high-pressure environment. Prior experience in a similar role, with a preference for commercial property experience. Strong ability to effectively organize and manage time, both individually and for others. Excellent verbal and written communication skills. Exceptional attention to detail in all tasks. Demonstrated resilience, proactive attitude, and adaptability. Ability to work autonomously as well as collaboratively within a team setting. Excellent time management skills to handle multiple priorities effectively. Professional presentation and the ability to exercise discretion when handling sensitive information. Proficiency in standard MS Office applications (Word, Excel, PowerPoint, Outlook, OneNote, etc.). Familiarity with or willingness to learn other platforms such as SharePoint, MS Teams, and MS Planner.
