About the Role Efficiently process orders, coordinate with clients and suppliers, prepare visual materials, and support sales and marketing initiatives. Duties: Order Processing : Convert quotes to orders and manage them in Xebra, including acknowledgments, payments, vendor purchase orders, delivery dockets, invoicing, and receipting vendor invoices. Client and Supplier Coordination : Ensure timely and accurate delivery of orders by liaising with clients, suppliers, and internal teams. Visual Materials Preparation : Create Art Detail Sheets and Visuals for client approval and quotes. Freight Cost Management : Organise and check freight costs to ensure efficiency. Database Updates : Maintain and update contact information across multiple systems. Repeat Order Follow-Ups : Target clients with previous orders and encourage repeat business. Client Mailings : Conduct targeted mailings with samples and catalogues. Target List Research : Identify potential customers for outreach. Gift Organisation : Manage thank you, referral, and monthly gifts for customers. Team Collaboration : Participate in meetings, provide process improvement input, and train staff. Additional Support : Assist with warehouse operations, website maintenance, sales projects, and customer service when required. Skills and Experience: Experience : Prior customer service experience. Technical Skills : Proficiency in touch typing, Microsoft Outlook, Word, Excel, and optionally Corel or Adobe Suite. Personal Attributes : Professional, reliable, personable, physically fit, solutions-oriented, self-motivated, organised, and confident. Other Requirements : Clean driving license and own car, police check (willing to get) adherence to WPHS policies, and a commitment to industry learning and participation in trade shows and training sessions.
