Administration Officer — Mackay, Mackay Region

The Administration Officer's key responsibilities are: - Follow guidelines in relation to human resources, records management, finance, travel and administrative policies and procedures. - Follow guidelines in relation to maintaining vehicle, building and equipment in line with departmental procedures and policies to facilitate the effective functioning of the service area. - Implement, maintain and review financial and administrative policies and procedures, including, travel and accommodation arrangements and building, vehicle and plant and equipment maintenance to facilitate the effective functioning of the Directorate/s.- Administer financial processes including procurement, ordering, payments of accounts, Carepay and monthly monitoring and reconciliation in accordance with current legislative and departmental accounting practices. - Provide information to internal and external clients regarding office services and procedures to promote quality customer service through reception (telephone and counter enquiries), email and other forums.- Provide a high standard of skills in a range of software packages and databases in the administration of services provided by the Directorate/s.- Use, update and monitor relevant databases and files in line with departmental policies and guidelines to ensure accuracy of data.- Develop and maintain professional and collaborative relationships and communicate with internal and external stakeholders to achieve positive outcomes.- Prioritise and coordinate activities in a team environment to meet deadlines, and to be flexible in a changing work environment.- Performs ad hoc duties consistent with the responsibilities of the role as directed by the line manager or their delegate. - Administering functions under Regulation of Care including placements and carer management.- Investigate financial enquiries ensuring timely, accurate solutions are reached.- Contribute to effective teamwork by developing an understanding of the roles and duties of other team members and working collaboratively to deliver services to the Directorate/s.- Liaise with Departmental officers and other Government and non-Government organisations as necessary. - Enhance the local regional community by actively practicing and promoting excellence in service delivery and public administration and identifying opportunities for improving regional client service. Delegations This role reports to the Business Officer in the Unit and has no direct reports or delegations. Successful applicants will be subject to a criminal history check or blue card screening.
