WHAT WE ARE LOOKING FOR Based at MILVEHCOE (Military Vehicle Centre of Excellence) Redbank, you will predominantly support the Leadership and Program Teams across Tactical Vehicles with all administrative tasks. About the role The Program Administrator is responsible for supporting Tactical Vehicles Leadership and Program Teams, with a focus on setting up and operating the program administrative capabilities. You will provide support and assistance to the Australian based Program Leadership team(s) to achieve a high level of performance excellence. As Program Administrator, you can anticipate some of your day-to-day tasks to include: Assist the Leadership Team with the management of meeting calendar with proactive management of meeting clashes and prioritisation including the hosting of WebEx meetings; Assist the Leadership Team with prioritisation of approvals and correspondence responses including email; Book travel for the Program Management Team; Provide office and program administration support to Program Management Team e.g. coordinating meetings including sending meeting invitations, booking rooms, organising catering and assisting with the planning of reviews; minute taking; Facilitate Change Request meetings and ensure all Jira Change Requests are updated with outcomes of Governance Boards; Manage action items register, tracking and following up action item resolution including outstanding correspondence; Administer Program Action Tracker - will require Administrative level skills in JIRA; Raise Purchase Requisitions including monitoring status of workflow approvals and liaise with Procurement to raise Purchase Orders; Maintain the program filing system on SharePoint and in hardcopy where required; and Maintain the SharePoint site. The experience and skillset best suited to this role includes: Certificate IV of Business Administration or related field (desirable); Outstanding verbal and written communication skills; Capability to communicate correctly across all levels of internal and external stakeholders; Experience in Office Administration and data collation; Proficient in MS Office i.e. Excel, Word, PowerPoint, Outlook (Intermediate to Advance); Proven ability to work unsupervised and possess a positive can-do, agile attitude; JIRA Administrative skills (desirable); Microsoft SharePoint Administration experience (desirable); Ability to travel internationally and interstate, when required; and Must hold or be eligible to obtain a Baseline Australian Government Security Clearance (must hold Australian Citizenship).
