Senior Administration Officer, Policy and Advocacy — Sydney CBD, Sydney

Position Purpose: To provide high level administrative and operational support to the Policy & Advocacy (P&A) Team including P&A operations administration, membership engagement and project support. Position responsibilities: Management of multiple P&A Team inboxes applying a high level of critical analysis to determine appropriate onward management. Liaise with the team answering queries, actioning administrative matters as appropriate, and logging outcomes on relevant databases. Liaise with members (medical specialists) in Specialty Societies; RACP Divisions, Faculties and Chapters; and external stakeholders to communicate effectively with regards to P&A activity, as appropriate. Act as point of contact to field enquiries from policy and advocacy committee members for committee related matters and assist in maintaining electronic and hard copy records of policy and advocacy committee related matters. Manage the calendar of committee meetings and coordinate teleconferences, virtual and face to face meetings, including related travel and expenses for committee members. Executive level administrative support to the P&A Team, including preparation of correspondence to external stakeholders and College members, as well as supporting the preparation of reports and briefs to inform P&A decision-making. Maintain and develop reports on P&A operations for regular and ad hoc reporting across P&A Team and the College. Assist in the preparation of proposals to revise processes, methods and procedures in all aspects of the P&A quality and liaison function. Assist with the implementation of changes or initiatives to P&A operations. Assist with the coordination of projects under the direction of the Policy & Quality Liaison Manager, P&A. Support the Policy & Quality Liaison Manager to ensure the best possible level of service delivery is achieved for all stakeholders. Any other tasks or responsibilities as and when required to support the Policy & Quality Liaison Manager and the P&A quality and liaison function to achieve the College’s strategic aims. Essential Attributes: High level experience in providing secretarial and administration support to a team, including experience in correspondence and report development. Excellent attention to detail. Strong initiative, critical analysis and problem-solving skills and the ability to identify potential issues and solutions. Excellent verbal communication, interpersonal and people skills, and an ability to deal across all levels of an organisation with tact and sensitivity to confidential issues. Excellent written communication and organisational skills, ability to assist and support the production of reports. A strong level of project support skills with proven ability to prioritise, multitask and work under pressure within the context of tight and, at times, competing deadlines.
