AO4 Procurement Administration Officer — Brisbane, Brisbane Region

A great opportunity to work within the procurement division and support the director and wider team undertaking a variety of administrative, procurement and purchasing, secretariat support, human resource support and a range of reporting and analysis functions. Key responsibilities of this role: Provide efficient and effective administrative support to the business unit by undertaking activities associated with end-to-end purchasing and procurement services; Manage and maintain the Director’s diary including the organisation of meetings, appointments, conferences, seminars, accommodation and travel arrangements; Provide quality services in the form of word processing, spreadsheet development, presentations and data input, analysis and reporting; Provide secretariat services to assist with the coordination of various procurement categories, including the Social Services Category. For example, coordinating working groups, category councils, meetings, agendas, minutes, etc; Liaise with officers at all levels within the Department, other Government agencies, internal and external organisations, the private sector and a variety of community and industry representatives; and Maintain a workload register and correspondence tracking system for the business unit to ensure the accurate recording of workloads and the flow of incoming and outgoing correspondence. To be successful in this role you will be required to demonstrate competency in relation to technical requirements of the role as well as; Demonstrated ability to work both autonomously and as an effective team member, including the ability to establish work priorities and meet pre-determined deadlines and commitments; Have high-level organisational skills, including the ability to oversee and manage multiple tasks, prioritise work demands and meet deadlines; Have the proven ability to consult with staff and stakeholders at all levels and to develop and maintain effective working relationships with external clients; Have the proven ability to effectively coordinate office administrative systems and contribute to the effective operations of the team and business unit; and Have high-level communication and interpersonal skills and the ability to establish productive working relationships with all levels of staff, stakeholders, internal colleagues and external representatives.
