As the Executive Assistant, you will be responsible for providing administrative support including diary management, email management, travel arrangements, preparation of agendas and preparation/revision of documents including presentations and reports that convey valuable information and reflect our organization's brand. You will have exceptional client relationship and communication skills with a high level of discretion and sensitivity when dealing with confidential matters. You are a critical gatekeeper for the leaders and help them triage and manage information flow and key activities at all times. Major Duties: Provides administrative support to senior managers or other executives in the APAC region e.g., Travel and receipts for Head of Internal Audit Composes and creates documents, spreadsheets and/or presentations Maintains and organizes paper and electronic files. Ensures confidentiality Manages database files. Handles and confirms travel arrangements and processes travel expense reimbursements Schedules meetings and conferences Works on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the department May track or monitor expenses for the department May greet or assist clients and/or vendors Responsible for identifying and resolving problems within established guidelines Expected to use some initiative but refer more complex problems to supervisors/experts Works effectively as a team member but also independently Stretch beyond comfort zones and work on special projects as required by manager Knowledge : Good oral and written communication skills are required Basic Functional / Industry Knowledge is preferred Analytical and problem solving skills are required Technical skills / systems knowledge (e.g. Peoplesoft, Microsoft Office) is preferred Experience : Previous administrative supportive experience or completion of professional administrative support training is required.
