About the role: An opportunity for one (1) x Administration Officer to be part of our Health and Wellbeing Hub central team, located in Docklands. The Health and Wellbeing Hub is the single most significant investment in the health, safety, and wellbeing of Victoria Police employees to prevent and respond to work related injuries. Six multi-disciplinary teams are being established, based in hubs across the state, with a focus on enhancing employee's mental health, injury prevention, early intervention, and recovery support. The Administration Officer will be responsible for providing a wide range of administrative and office management functions, in support of the Health & Wellbeing Hub. The positions will be responsible for report and correspondence preparation, minute-taking during meetings, conducting basic research activities, and maintaining efficient work recording and monitoring systems. Reporting the Senior Operations Manager, the incumbent will work closely and collaboratively with key internal stakeholders to ensure efficient functioning of the Health & Wellbeing Hub, in both central teams and regionally based Hubs. Your duties will include: Provide comprehensive administrative support for the Health & Wellbeing Hub, encompassing both central and regional hubs Oversee office management responsibilities and general administrative tasks, including preparation of general correspondence, secretariat support, and stationary procurement. Maintain and monitor meeting cadence for the operations of the Health & Wellbeing Hub, coordinating activities among the central Leadership team, regional teams, and discipline-specific groups. Compile and disseminate reports and correspondence on behalf of the Health & Wellbeing Hub, ensuring timely communication and documentation. Manage the procurement process by generating purchase orders under the guidance of the Senior Operations Manager, and efficiently handle associated administrative tasks. Assist in the coordination and administration of meetings, appointments, and travel arrangements, optimizing logistical arrangements as needed. Collaborate with VPS Recruitment to support hiring managers in coordinating recruitment activities and associated tasks, ensuring a streamlined and efficient process. Oversee the management of the Health & Wellbeing Hub car fleet, including administration of the car booking system, servicing arrangements, reporting procedures, and engagement with stakeholders to meet transportation needs effectively. As the successful applicant, you will have: Proven track record in executing various administrative support tasks, encompassing report and correspondence preparation, minute-taking, and office management. Demonstrated organisational awareness and adept problem-solving abilities. Ability to work with limited supervision and prioritise workload whilst meeting strict deadlines Strong interpersonal skills to effectively engage with key stakeholders and work well within a team environment Well-developed written and oral communication skills and computer skills including MS Office Suite Demonstrated ability to work flexibly in a team environment and to contribute to change and business improvement programs What we can offer you: As an employee of Victoria Police, you will have access to a range of benefits.
