Because of this growth, we have an opportunity for a suitably experienced Sales Coordinator to join our sales team. This position will be an integral role for the next phase of our development in the industry and will focus on our most valued asset, our customers. This integral role facilitates the management of vehicle stock from receipt of order through to delivery to the customer. Vehicle deliveries are achieved through central communication between our customers, suppliers, and internal stakeholders to deliver an exceptional customer experience. The role will answer to the National Sales Manager and is based in our Melbourne office. Some of the key responsibilities will Include, but are not limited to: Coordinate delivery of new vehicles to customers. Update weekly and monthly sales / forecast reports. Creation of Repair Orders for new vehicle deliveries and managing the contract flow between all stakeholders. Provide exceptional customer service and facilitate problem solving by extensively liaising with customers, suppliers, and internal stakeholders. Provide regular and appropriate communication on progress of bus order, identifying and managing risks to delivery to the account manager and sales management team. Maintain accurate estimated delivery dates in Pentana to meet with company and customer expectations. Coordination of documentation required for vehicle registration. Coordinate customer collection/vehicle delivery through liaising with workshop/production for vehicle completion and account manager availability. Maintain retail environment within Pentana (ERA). Coordinate Demonstrator and Trial Program. Maintain Pipedrive database. The ideal candidate will possess the following skills / experience: Strong technical background in bus or heavy commercial industry. Minimum 2 years of sales coordinator / delivery experience in Bus / Truck, broader automotive, marine, heavy machinery, or similar sector Current drivers’ license High attention to detail ERA (Pentana) dealer management system experience. Intermediate Microsoft Office and relevant software skills Excellent interpersonal and communication skills Exceptional time management and organisational skills Genuine customer centric mindset and behaviours, which produce high satisfaction, net promoter, loyalty, repurchase and new customer outcomes. Ability to execute contemporary, end to end sales coordination practices that yield sustainably high-performance outcomes. Use of data / analytics to optimise the performance of VDI’s sales portfolio. Willingness to travel as necessary, work the required schedule, work at the specific location required.
