Role Overview: We are seeking a dedicated Administration Officer - Reception to join our Administration Services team. The incumbent will play a pivotal role in providing exceptional administrative support with a focus on confidentiality and customer service excellence. As the first point of contact for our organisation, the Administration Officer - Reception will ensure a welcoming and professional environment for all stakeholders, customers, staff, and visitors. Key Responsibilities: Greet and assist visitors, staff, and stakeholders in a courteous and professional manner. Manage all incoming calls, emails, and correspondence promptly and efficiently. Maintain a clean and organised reception area, ensuring it reflects the professionalism of the organisation. Coordinate meeting rooms and appointments, including scheduling and preparing necessary materials. Provide administrative support to staff and executives, including data entry, filing, and document preparation. Manage office supplies and equipment inventory, ensuring adequate stock levels at all times. Maintain confidentiality of sensitive information and adhere to privacy regulations. Assist with ad-hoc administrative tasks and projects as required. Qualifications and Experience: Proven experience in a similar administrative role, preferably in a healthcare or customer service environment. Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders. Strong organisational skills with meticulous attention to detail. Proficient in Microsoft Office Suite and other relevant software applications. Ability to prioritise tasks and work effectively under pressure.
