Responsibilities: Provide comprehensive administrative support to multiple legal professionals, including managing calendars, scheduling meetings, and coordinating travel arrangements. Prepare and format legal documents, correspondence, and presentations with meticulous attention to detail. Maintain confidential client files and records, ensuring accuracy and compliance with data protection regulations. Assist with billing and invoicing processes, tracking expenses, and managing accounts payable/receivable. Conduct research and gather information as needed to support legal proceedings and client matters. Act as a liaison between legal staff, clients, and external stakeholders, facilitating communication and fostering positive relationships. Handle incoming communications, including phone calls, emails, and mail, promptly and professionally. Requirements: Minimum of 2 years' experience as an Executive Assistant in a top-tier legal firm in Australia. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software applications. Exceptional organizational skills and the ability to prioritize tasks effectively in a fast-paced environment. Strong written and verbal communication skills, with a high level of professionalism and discretion. Demonstrated ability to maintain confidentiality and handle sensitive information with integrity. Australian citizenship or permanent residency required. Flexibility to work remotely and in the office, with a 60/40 split.
