About the Role As a Contracts Administrator, you will play a pivotal support role in managing relationships with vendors to guarantee the delivery of exceptional services to our department. Your responsibilities are as follows: Assist with the management of ICT contracts through vendor management, providing feedback on vendor performance under the contract by recording, analysing and reporting service level performance and opportunities for improvement. Coordinate the governance of ICT contracts, including establishing meeting schedules and secretariat duties. Receive, review and distribute vendor reports. Maintain registers of documentation and data from vendor reports including service level, monthly, quarterly, annual and post-incident reporting. Monitor ongoing financial commitment of ICT contracts, through cost management, forecasting, budget monitoring, cost analysis, and recording monthly invoices for contract expenditure in alignment with budget and contract commitments. Process and maintain records of vendor access to departmental IT systems in line with contractual obligations and departmental mandatory requirements, policies and processes. Conduct regular reviews and audits of system access and expiry dates and update accordingly. Liaise with the relevant departmental business units and external vendors in relation to contracts to ensure that business deliverables are met. This includes the development of and tracking/recording progress of statements of work and requests for additional service. Provide administrative support as required. Undertake specific projects and/or activities as allocated by the Manager. About You To excel in this role, it would be highly desirable to possess the following skills and experience: Analytical skills: Ability to assess vendor performance and financial data. Communication skills: Effective communication with vendors and internal stakeholders. Organisational skills: Manage multiple tasks and detailed records efficiently. Attention to detail: Accurate review of reports and compliance with requirements. Financial acumen: Experience in budgeting, cost management, and financial forecasting. Problem-solving skills: Identify and address issues in vendor performance and contracts. Technical proficiency: Familiarity with ICT systems and departmental policies. Team-oriented mindset: Collaborative approach to working with business units and vendors.
