Position Summary: Alzheimer's WA are looking for an Administration Officer, based out of Subiaco. The role reports to the Executive Officer and is responsible for the professional and efficient functioning of the reception and providing office administrative support. It plays a key role as it presents the first impression of Alzheimer's WA to visitors, phone callers, and customers. It deals with customer liaison, reception/switchboard, and general administration. Duties of this position include, but are not limited to: Open the reception, including the switchover of phones; Operate the switchboard and direct calls in an efficient and timely manner; Receive and forward messages to staff in a timely manner; Provide telephone support to the client's service team; Create and maintain a warm, welcoming environment for all; Greet visitors at reception and assist with their enquiries, either directly or by contacting the appropriate department or person; Receive and disperse Alzheimer's WA's deliveries, mail and other items; Maintain records of mail out quantities/cost per department; Assist with raising purchase orders; Ensure that photocopiers have adequate paper and ink stocks and are operating efficiently; Ensure that the reception area and meeting rooms are kept tidy and in good order; Assist in maintaining client and staff databases and files; Keeping the office neat and tidy; Check the office supplies and process stationery and other office consumables; Report to any faulty equipment or necessary repairs to the asset manager; Issue and receipt of pool vehicle keys; Where practicable, participate and assist with the coordination of the organisation's events and activities; Other duties as directed by the executive officer or other senior members of staff. Essential Criteria: Demonstrate relevant experience of administration/reception experience relevant to the position; Reception/telephone experience with excellent verbal and written communication skills; Excellent interpersonal and communication skills including the ability to present and manage stakeholder relationships; Exceptional time management and organisational skills and the ability to meet strict deadlines; Intermedia knowledge of Microsoft 365 applications and desktop publishing; An ability to prioritise, monitor and coordinate personal workloads to meet varying deadlines; WA 'C' class driver's licence; NDIS Worker Screening Check; and COVID-19 Vaccination (three doses).
