We are on the lookout for a Facilities Administrator to join our team. If you are looking for an opportunity to develop your skills in the Facilities Management industry, then this role could be for you. The Role Assist the Site FM team by coordinating all vendor attendance to site, and perform the required administrative activities to facilitate these attendances, including, but not limited to, the following tasks: - Communicate with external vendors for availability. - Book in all external vendor PPM's. - Submit guard request forms. - Ensure currency of vendor compliance with BGIS and RBA systems and processes prior to attendance. - Add job bookings to Outlook calendar - send out invites to BGIS team & client. - Enter VAAS entries for contractors attending the site and provide relevant info to clients so they can organise vehicle attendance. - Maintain a schedule of external contractor visits and internal trade secure area requirements for distribution to RBA client and tenants for works coordination. - Organise external Vendor Fit 2 work compliance checks via client. - Organise permit passes via client. - assist vendors with SASSI & Avetta compliance. - General Support for vendors if they have issues with any BGIS platforms. - Other administrative duties as required. Skills and Experience: - Strong capability in MS excel is a must (including lookups, and pivot table analysis) - Strong attention to detail - Strong demonstrated experience in a similar administrative role. - Demonstrated high-quality written and verbal communication skills. - Demonstrated ability in providing written reports. - Essential current knowledge in computer software Word, Excel, Outlook (or related program) and Internet access.
