THE COMPANY Our client is a family owned group of food companies which caters to both the retail and wholesale markets across Victoria. With multiple sites across metropolitan and regional Victoria, they are currently experiencing considerable growth, and have a newly created position available for an entry level admin assistant to join their fun and friendly team. THE ROLE The position of Admin Assistant consists of being responsible for providing administrative and clerical services to ensure effective and efficient operations and support to the directors and finance team. Due to the nature of this role, you are required to work on site in the office Monday to Friday, and must have your drivers licence and vehicle. Duties include: Answer phone calls and direct to appropriate parties or take messages Inbox management; monitor and manage 3 seperate inboxes Provide support to the management and financial team; greeting visitors accepting deliveries mail collections filing and archiving, inter-company communications Data Entry of Invoices into system Assist with account and bank reconciliations Liaise with suppliers Support Finance Manager with account management and other ad hoc tasks directed Other additional admin duties as required to assist the team THE IDEAL CANDIDATE Understands the impact of different communication styles Demonstrates an understanding of diverse end-users and stakeholders and their changing needs Remains composed and focused during high pressures times Can take both short-term and long-term perspectives to plan, manage and prioritise workload Completes work with accuracy and quality in a timely manner Takes a true consultative approach when dealing with primary stakeholders and will go above and beyond expectations Demonstrated high-level administration and organisational skills Previous experience in dealing with confidential information and demonstrated capacity to maintain confidentiality and professional standards of behaviour Excellent time management skills including working to deadlines Demonstrated writing skills and advanced MS Office skills Results driven with an ability to efficiently problem solve This is a fantastic opportunity to join a local, family owned business and make the role your own.
