Who we are The Australian Antarctic Division (AAD) is part of the Commonwealth Department of Climate Change, Energy, the Environment and Water. As primary agency for Australia's Antarctic Program (AAP), the AAD is responsible for achieving the Australian Government's Antarctic goals. These goals are to: Maintain the Antarctic Treaty System and enhance Australia's influence within it. Protect the Antarctic environment. Understand the role of Antarctica in the global climate system. Undertake scientific work of practical, economic and national significance. The AAD also has responsibility for administering the Australian Antarctic Territory and the Territory of Heard Island and McDonald Islands. The Assets and Technology (A&T) Branch provides and maintains the equipment and infrastructure to support the AAP. A&T Branch activities range from the maintenance of existing Antarctic stations and equipment through to the design, manufacture, testing, operation and procurement of advanced scientific equipment and systems. The Branch manages major infrastructure projects in support of AAP outcomes. The infrastructure maintenance and operations section is responsible for the operation and maintenance of critical Antarctic and Sub-Antarctic infrastructure. The key duties of the position include The Job Provide secretariat support to the section for committees and meetings, such as minuting technical discussions, risk assessments, engineering design processes and stakeholder consultation meetings. Assist with preparing documents, trades publications and letters using the Microsoft Office suite, and updating intranet content. Operate information systems including customised business databases to manage data related to cargo, budgets, assets, Head Office and station personnel. (e.g. ETA, APS, eRecruit and eCon). Provide support for Infrastructure expeditioner recruitment and training, including liaising with candidates, the Polar Medicine Unit, recruitment, training and ticketing sections. Maintaining checklists to monitor candidates' progress throughout the medical and psychological clearance process. Provide support for the onboarding of new Head Office personnel and expeditioners. Managing information including the filing and distribution of reports and official communications using document control software. Perform administrative functions, such as assisting managers with administration of calendars and meeting bookings and arranging business catering. Carry out purchasing, cargo and inventory support activities, including assisting with section reorders, seeking quotations, raising purchase orders in TechOne, credit card reconciliation in Expense8, collecting, receipting and delivering goods, organising courier services, packing and consigning goods for station. Liaise and coordinate with other Sections / Branches by acting as a point of contact for the Infrastructure Maintenance & Operations section. Any other duties as requested by the Infrastructure Maintenance & Operations Manager and Construction Projects Manager to facilitate the smooth running of the section. What we are looking for Skills and capabilities Demonstrated high-level communication skills, both written and verbal. Demonstrated experience working in a fast-paced team environment. Demonstrated knowledge of computer systems including Microsoft Office suite, electronic records management systems, and other related programs.
