In this role, you will Provide administrative and executive support to the Branch including, but not limited to, distributing and sending mail, filing, archiving records, ordering stationery, goods and services, payment of invoices, processing claims for payment and raising purchase orders, courier dispatch and receipt, scanning and photocopying. Provide a range of support services that may include diary coordination, arranging travel, completing regular reports and maintaining general office systems. Coordinate and maintain effective filing and information retrieval systems, including electronic document management systems. Enter and maintain data in relevant databases, ensuring information is accurate. Organise and book meeting rooms, liaise with appropriate staff on setting-up of rooms, and arrange catering for a variety of meetings. Assist in the planning, coordination and delivery of events. Distribute meeting material to members. Attend and take minutes of team and unit meetings as required. Maintain bring-up systems, track tasks and initiate follow-up action as necessary to ensure operational processes are completed within required timelines. Coordinate communications with internal and external clients, including the preparation and checking of routine letters and other documentation. Answer incoming telephone enquiries from a diverse range of external and internal clients in a clear, concise and polite manner. Undertake project activities support duties across the Branch Manage personal workflow efficiently, negotiating priorities where appropriate. Contribute actively to the continuous improvement of administrative support services, use initiative and be capable of working independently or as a member of a team. Skills and experience with Word and Excel are essential to perform this role. Your team: Policy Unit The Policy Unit is part of the QCAA's Strategy, Planning and Corporate Support Division. The Policy Unit manages the QCAA's interface with the community, education stakeholders and other key groups and is responsible for the following major activities: providing secretariat support to the QCAA Board and its committees, including the quality assurance of meeting papers and overall management of meetings providing feedback on issues relating to QCAA legislation. providing policy advice and other support to senior officers and other staff coordinating the development of briefs (e.g., for Estimates Committee Hearings), ministerial and other correspondence, and submissions on various issues project managing major or sensitive activities, e.g., reviews and inquiries, stakeholder consultation activities. responding to requests for information and data from the public, educational institutions and other government agencies Interested in applying?
