Retrieval Administration Support Officer — Essendon Fields, Moonee Valley

Adult Retrieval Victoria (ARV) is part of Ambulance Victoria (AV) and provides state-wide clinical coordination, retrieval and critical care services, including Major Trauma transfers. The service has a 24-hours phone line through which clinicians can request advice and/or a retrieval. We are seeking Retrieval Administration Support Officer to provide Administration Support for our Adult Retrieval Victoria Department. We have part-time positions available, both ongoing and fixed-term (end of 2024). This position currently based in Essendon Fields. About the role Reporting to the Senior Retrieval Call Taker Team Leader the RASO is the first point of contact for all referrals to the state-wide adult retrieval service. Other responsibilities of this position include, but are not limited to: Assist the ARV Clinical Coordinator with case logistics and ARV retrieval tasking Maintain office and administrative systems to ensure all information collected and recorded is accurate Collection and live data entry into the ARV case management system of required ARV case information Accurately complete relevant documentation relating to ARV referrals and other services such as telehealth cases Ambflight bookings for AAV platform requests and first point of contact for Victorian trauma advice and referral Notification to ARV Administration Office of all public to private, defined patient and neurosurgical defined patient transfers Provide support to the ARV Administration Office as required About you To be considered for this position you will possess: Experience working in a customer service environment and providing administrative and telephony support Intermediate proficiency in the use of Microsoft Office Suite and experience or knowledge of web based applications Exceptional verbal and written communication skills to prepare well-structured, accurate and concise documentation ensuring information, ideas and plans are clearly articulated and understood by others Interpersonal skills to effectively gain the co-operation of others to achieve work objectives Ability to operate in a stressful environment displaying time management skills to effectively manage own time under pressure and ensure work is completed efficiently, within designated timeframes and appropriately handle information of a highly sensitive nature Time management skills to effectively manage own time under pressure and ensure work is completed efficiently and within designated timeframes Working at AV As a valued member of AV you will enjoy a professional working environment that recognises the importance of work/life balance.
