Office Coordinator / Administration Assistant — Alexandria, Inner West

Be the first point of contact for this Globally renowned fashion brand As Office Coordinator you are responsible for providing a friendly and professional first point of contact for the business. Key Responsibilities Office Administration; • Ensure a positive and welcoming atmosphere in the office. • Provide administrative support to the office staff, management and Retail teams. • Manage office supplies, place orders, and ensure adequate stock levels. • Handle incoming and outgoing correspondence, including emails and phone calls. • Schedule meetings, appointments, and events for the office. • Coordinate interstate and international travel arrangements for staff. • Maintain and organise office documents, files, and records ensuring confidentiality and security of sensitive information. • Address any issues related to office equipment and infrastructure including the management of services and products warranties. • Assist in the planning and execution of promotional events, product launches, or other special occasions. • Provide support to various teams within the organisation, such as sales, marketing, customer service, Retail Operations, VM, HR and Finance. • Assist with welcoming and onboarding new Head Office employees. • Assisting with the maintenance of the Showroom. Operations Administration; • Coordinate stock transfers between stores and the warehouse. • Manage stationery and cleaning supplies/equipment orders for all Retail Stores. • Coordinate with external service providers for store repairs and maintenance. • Ensure timely and accurate processing of orders and shipments from Head Office to the stores. • Assist in maintaining proper documentation for received and returned items. • Provide administrative support related to customer service, such as handling customer inquiries and feedback - including the loyalty programs and promotions. • Management of the Retail Incentive Programme. • Generate and analyse sales reports to provide insights into store performance. • Assist in investigating and reporting any inventory discrepancies or theft incidents. • Coordinate promotional events and sales activities in collaboration with the marketing team. • Provide administrative support for in-store promotions and campaigns. • Ensure that stores comply with company policies and procedures. • Assist in implementing new policies and guidelines in the retail stores. • Liaise with vendors and suppliers and assist in negotiating contracts and managing relationships to ensure cost-effectiveness. Your skills: • Excellent written and verbal communication skills with the ability to communicate effectively at all levels. • Excellent level of computer literacy; ability to use Microsoft Office, including Outlook, Word, and Excel. • Ability to provide superior client/customer service. • Proactive, punctual and reliable. • Good presentation, polite, friendly and professional manner. • Able to work methodically, accurately and neatly. • Good organisational and multitasking skills. • Able to work both without supervision and as part of a team. • Ability to resolve complicated disputes or issues independently and in keeping with company policies Please note you must have full working rights (Australian Citizen or Permanent Resident) to be considered for the opportunity.
