Executive Assistant and Office Manager We're looking for an outstanding person to join our Melbourne office. GRACosway is the leading public affairs and strategic communications advisory firm in Australia and New Zealand. We provide expert advice to clients with complex, sensitive government relations and communications challenges. Our multi-disciplinary team of senior consultants offer expertise in public policy and regulation; strategic government engagement; issues and reputation management; transaction communications; investor relations; and media training. Working as part of our national team and directly with our Melbourne based Managing Partner, you will support our leadership and ensure the smooth day-to-day running of our Melbourne office. About the role Key responsibilities include: Proactively manage scheduling for the Managing Partner and members of the leadership team, including meeting requests, board commitments and travel. Provide general administrative support, and assist the in managing and actioning correspondence. Work in collaboration with Sydney-based peer to assist in maintaining written reports and firm records, including collecting and filing client information. Manage the Melbourne office including visitor greeting, meeting room coordination, catering arrangements, while ensuring the office is presentable and organised. Keep office facilities organised and stocked; monitor and manage office supplies and liaise with suppliers on orders; coordinate mail and courier arrangements. Our ideal candidate for this role will have: A professional background working as an executive assistant and office manager. Contemporary experience working in a consulting environment. A natural intuition towards proactivity and to anticipate issues and tasks. A strong client service ethic and a commitment to professionalism in all activities. Excellent people skills, organisation and administration skills. Ability to manage independent projects, as well as being a strong team player. Proficiency in MS Office.
