Purchasing Administrator — Herdsman, Stirling Area

The Role Start and grow your career in Supply Chain by joining our Purchasing team as a Purchasing Administrator. Reporting to the Purchasing Manager, you will assist the Purchasing Coordinator, in creating and maintaining purchase orders, tracking orders and deliveries, with reporting and analysis to ensure on time delivery while mitigating risk. The successful applicant will be self-motivated, with the ability to take a proactive approach and effectively prioritise work to ensure that all activities are completed quickly and accurately. Our ideal candidate will be analytical, detail oriented, not easily overwhelmed by a fast-paced, data driven environment and will approach each day with an enthusiastic sense of urgency. This is a permanent full-time role - however, there is a contract position also available. What We Expect: Regular placement and tracking of purchase orders, communicating any delays or potential risks. Provide comprehensive administration support to the Purchasing Department. Regular liaison with international factories, responsible for a small portfolio of suppliers. Maintain updated records of purchased products, delivery lead time information and invoices. Collaboration with other departments to deliver exceptional solutions and customer service to our clients. Goods receipting and variance checking. Monitor shipment ETA’s and actual departures & arrivals and updating the system accordingly and escalating at risk shipments. Prepare, calculate, and provide data/ reports to assist with on time delivery and risk management. Liaise with local and global warehouses to manage local inventory and facilitate stock requests to meet business and customer requirements. Coordination and management of rolling and annual stock-takes. Processing of factory credits. What We Are Looking For: Knowledge in supply chain or related industry desirable. Candidates eager to start their career within Supply Chain. Good verbal and written communication skills. Strong procedure and process orientation. Advanced Microsoft Excel, Word and Outlook skills preferred. Knowledge of ERP systems and purchasing software preferred. Ability to work in a busy, fast faced team environment with a sense of urgency and drive. Strong time management, organisation, and prioritisation skills with the ability to multi-task Analytical with attention to detail. The ability to meet deadlines consistently. Pro-active in continuous improvement and problem-solving.
