Administration Assistant — Port Melbourne, Port Phillip

Job Description As we continue to grow, we are looking for an enthusiastic Administration Assistant who enjoys assisting and supporting a team, problem-solving, troubleshooting, and is a skilled multi-tasker. Reporting to the State Administration Manager and located within our automotive retail dealership in Port Melbourne your day will be varied, and you will play an integral part in the continued success of Dutton Automotive Tasks and responsibilities will include: - Providing administrative support to dealership staff by handling email responses, invoice queries, vehicle registrations and general correspondence. - Accurately inputting and managing customer information, vehicle records, and inventory data via internal dealership systems. - Collaborating with the State Admin Manager to ensure accurate banking details are received. - Coordinating with the Finance Manager to send external finance invoices. - Inputting supplier invoices against vehicles accurately. - Recording Roadworthy Certificate (RWC) information for each vehicle and maintaining a list of vehicles without current RWCs. - Assisting the sales team in accurately entering vehicle sales and preparing paperwork for customers. - Following up on outstanding information related to vehicle sales daily with the sales team. - Organising and maintaining dealership records, including signed sales contracts and transfer documents. - Compiling documents for each sale into an electronic pack. - Supporting the Sales Manager in reviewing each vehicle prior to customer pickup. - Inputting and removing allowances/estimates on vehicles to calculate profits accurately. - Conducting monthly stock takes for cars currently in the showroom.
