Our Values are key to driving our success, and are at the heart of everything we do: Clients Come First - Always | Execution Supersedes Intention | Together We Win | Diversity Improves Results | Truth Builds Trust If our mission, values, and purpose align with your own, we would love to hear from you Your opportunity - Be responsible for reception duties such as greeting external guests, providing refreshments, tidying meeting rooms and answering the reception phone line - Maintaining the kitchen / breakout area - Assisting the EA to the Head of Australia & Office Manager, to include: - Diary management for the Head of Australia (When needed) - Arrangements for any external & internal events - General office housekeeping / admin tasks - Maintaining office stationery by checking inventory and ordering items monthly - Understanding the T&E policy and assist staff with Concur related questions - Printing and binding of presentations - Collate information for itinerary during Portfolio Manager visits - Any staff travel bookings - Assisting the Head of Compliance, APAC, to include: - Scheduling board and committee meetings each quarter - Collation & distribution of board meeting papers - Registering and recording training attendance - Monitoring and recording inducement forms - Recording of minutes during board and committee meetings - Assisting the Head of Retail Research on: - Collating due diligence questionnaires - Liaising with offshore stakeholders, collating data requirements for research reviews - Your role may require you to interact with other Janus Henderson offices, employees and third parties based in different time zones such as the UK, USA and Asia - Carry out additional duties as assigned What to expect when you join our firm - Hybrid working and reasonable accommodations - Paid volunteer time to step away from your desk and into the community - Support to grow through professional development courses, tuition/qualification reimbursement and more - All-inclusive approach to Diversity, Equity and Inclusion - Complimentary subscription to Headspace - the mindfulness app - Corporate membership to ClassPass and other health and well-being benefits - All employee events including networking opportunities and social activities Must have skills - Previous experience in an office administration role - Minimum 2 years working experience within the financial services industry - Intermediate to advanced skills in the Microsoft suite of products Nice to have skills - An ability to handle changing priorities as they arise - Ability to be proactive at all times and to "think outside of the box - Excellent interpersonal skills, both written and verbal - Ability to take care of business units across various time zones and regions - A flexible approach to work requirements when and if required, particularly related to office hours or day-to-day duties as the need arises - Excellent organizational and time management skills, with an ability to set and work to, priorities and deadlines - A desire to "roll your sleeves up" and show flexibility and a shared desire to achieve results - Demonstrated willingness to help with additional tasks that may be outside of your remit, if the need arises Supervisory responsibilities - No Potential for growth - Mentoring - Leadership development programs - Regular training - Career development services - Continuing education courses You will be expected to understand the regulatory obligations of the firm, and abide by the regulated entity requirements and JHI policies applicable for your role.
