Executive Assistant, Legal — The Rocks, Sydney

Hybrid working arrangements Sydney based Full time opportunity How will I help? This role will see you provide support to the General Counsel CBWT & COO Legal by delivering the efficient and effective coordination of all office functions, diary and email management, forward planning, all administrative processes with a strong knowledge of Westpac systems; as well as general support to the leadership team coordinating activities, payment of invoices, recruitment, and onboarding. Responsibilities Diary management for General Counsel, including coordination of all meetings and preparation of agendas. Collation of pre-reading/documents ready for all meetings Coordination of leadership team key meetings, including forward planning, the preparation of agendas and recording action items Provide support to Heads of Legal, and Head of Operations including running reports, leave management and mandatory training tracking Working closely with the Practice & Operations Manager, as well as the EAs in Legal Managing expenses and processing accounts, payments, and reimbursements in a timely and compliant manner, in WEAPS, e-buy, COUPA and Promaster General support to General Counsel, Heads of Legal, and Head of Operations including approval of IT requests. People HQ requests and User Access Requirements Update and maintain the team organisational charts and distribution lists What's in it for me? Demonstrated Executive Assistant experience Strong attention to detail and organisational skills Advanced diary and email management skills Strong PC literacy (MS Office: Word, PowerPoint, Excel, and TEAMS) Knowledge of iManage (desirable) What is it like to work there?
