This role is responsible for supporting the administration, communication, and facilitation of multiple teams and programs across different portfolios. Core Job Role Accountabilities Work with program staff to develop consistent processes, timelines, and procedures. Complete the full range of administrative tasks as directed by the head of the department on and relevant portfolio Directors/Heads. Provide support in the co-ordination and production of resources required to sustain the immediate, short, and long-range administrative needs of the department. Work collaboratively with the head of the department, other administrative assistants, and portfolio specific administrative assistants on all administrative tasks required to facilitate the programs at the organisation. Maintain the various systems and network folders used within the department, including maintaining accurate records of registrations. Provide support for staff in developing processes and quality resources to enhance effectiveness. Complete a broad range of tasks requested by staff, such as document formatting, emailing, competition entries, and form creation. Facilitate the communication pathway in and out of the department, including answering or making phone calls, composing and responding to electronic forms of communication, and the production of documents and newsletters. Facilitate open lines of communication with all staff including administration staff, coordinators, and portfolio Directors/Heads. Assist with administration tasks for events and external tours/visits. Develop a strong, professional relationship with internal and external stakeholders Assist in the production of the department's portion of communication resources to be included the weekly newsletter, weekly summary, and the yearly magazine. Other adhoc admin duties Core skills, knowledge and experience Willingness and ability to adopt a flexible approach to work tasks and manage changing priorities, along with demonstrating excellent time management skills. Willingness to support the ethos and values of the organisation. Display a willingness to work productively and collaboratively as a member of a team. Ability to demonstrate exceptional accuracy and attention to detail in the preparation of materials both hard copy and electronic. Possession of an intermediate knowledge of MS Office with an emphasis on MS Excel, MS Word and MS Outlook. Knowledge of Google Workspace products is desirable. Well-developed communication skills, including written and interpersonal skills that enable the development of positive relationships based on respect and trust. Please note that this role is a temporary convert with the view to convert to a permanent position so you MUST have the eligibility to do so (Permanent Residency or Australian Citizenship), no sponsorship opportunities. Please also note that a WWCC will be required to be obtained for this role.
