About Pacific Pines State Primary School Pacific Pines Primary is a prep to 6 school established in 2002. The school is situated in the hinterland of the Gold Coast at the western end of the smith street motorway. Pacific Pines estate is located between Coomera and Nerang and our catchment services the communities of Gaven and Pacific Pines. About the Role As the Administrative Officer, you will be responsible for: Perform a variety of day to day administrative and support services that are routine in nature and directed by the Principal or the Business Manager. Undertake routine activities including reception (telephone and counter enquiries), arranging appointments, correspondence and general administration, maintaining school records, such as incident reports, student admissions, enrolments and departures, processing incoming and outgoing mail and email, and once approved, ordering and arranging student transport for sport excursions, trips and other school activities. Perform a variety of other administrative or support services for school support staff, including printing of timesheets, leave applications and rosters, assisting with arranging approved relief for school support staff as directed. All accounts payable phone enquiries Processing requisitions/purchase orders Processing payments of invoices Enter corporate card transactions into the OneSchool in an accurate and timely manner Processing of corporate card monthly reconciliations Sourcing bus quotes for camps/excursions Ensure that all accounts are paid and recovered in an accurate and timely manner Archiving as required Receipting Processing payments both from external parties and students Completing end of day banking Filing and getting sign off from BM for money banked Completing credit notes and getting Principal to sign Maintaining accurate finance registers Assist with the instrumental music student resource scheme Please refer to the attached role description for any mandatory requirements for this position.
