Project Administrator for a period of 12 Months — Larrakeyah, Darwin

Scope of Works The project administrator will provide high quality project coordination, administration and technical support to the DCDD Health Projects Team for the delivery of project activities including status and financial reporting, workshops, stakeholder management, tracking of milestones, issues and risk management. This position will be part time hours working Monday – Thursday. Key Duties and Responsibilities Assist Project Managers in the planning and coordination of project related activities such as requirements and design workshops including preparing documentation, organising facilities, resources and stakeholders and assisting with execution. Be an active member of the team by providing support to key project team members during busy project schedules and activities Develop strong working relationships with the project team, NT Health Office of the CCIO, Agency Business Systems Human Shared Services, vendors and other stakeholders. Provide project administrative support. Including: Coordination and management of the monthly reporting cycle for project status and financial position Coordination and management of team activities such as regular meetings Performing the secretariat role for workshops and committees as required. Assist with vendor management activities such as drafting vendor statements of work. Deliverables Client and stakeholder satisfaction Reliable, high quality support for the team Location of work The suitable resource will be required to perform the services in Darwin as required by the projects activities. It is a requirement therefore that the suitable Services Personnel will be Darwin based for the duration of this engagement. Clearance Requirements (identify required) National Police Clearance Requirements Essential Skills and Experience Demonstrated project/program experience in an administrative project coordination role or similar including experience in developing and maintaining process documentation and reporting on project statuses and activity. Proven high level oral, written and interpersonal communication skills, with the ability to communicate and negotiate effectively with team members and internal and external stakeholders. Demonstrated high level organisational and coordination skills with a diligent, energetic and positive approach and the ability to work autonomously, under pressure and meet deadlines, use initiative, prioritise workloads and maintain flexibility. Demonstrated experience working in a collaborative, team orientated environment with high priority deliverables. Solid experience in using software packages including MS Office Suite, with ability to quickly acquire skills in JIRA and SharePoint and other software systems. Demonstrated work ethic and attitude which emulates DCDD values of being professional, accountable, honest, respectful and innovative. Desirable Skills and Experience Formal Qualification in (or working towards) Business Administration, Project Management or equivalent experience. Experience in the Health or Information Technology industries (IT). Personal Qualities required of Candidate High level social and written skills with the ability to effectively communicate with team members and stakeholders, including ability to translate complex analytical and technical information into clear and meaningful terms. Ability to work in a small team environment with members of diverse cultures and backgrounds and differing skill sets. Self-starter with high personal drive and a positive attitude. Disciplined and accountable for supporting and maintaining work outputs. Behaves in a respectful and professional manner, maintaining high integrity and transparency at all times.
