Our client, a prestigious global asset management firm , is in search of a Facilities Coordinator, to join their team. Situated in the heart of the CBD, their boutique Sydney office boasts state-of-the-art design and fosters a collaborative, friendly team environment, providing an exceptional workplace experience. As the Facilities Coordinator, you will be instrumental in overseeing all office operations and facilities coordination, while also providing reception coverage and delivering exemplary service their clients. We are seeking a proactive individual with a problem-solving mindset, excellent communication skills, and strong organisational abilities. You will take pride in presentation, service delivery and preform your work to a high standard to ensure the firm is operating at peak efficiency. Key Responsibilities: • Plan and schedule preventive and corrective maintenance activities for office space, facilities, and equipment. • Coordinate with service providers for routine preventive maintenance and repairs. • Conduct routine site inspections to ensure optimal condition of office space and infrastructure. • Ensure timely renewal of maintenance contracts and oversee works completed by contractors. • Assist employees with facilities-related requests and complaints. • Maintain a safe and compliant office environment, adhering to regulations and procedures. • Manage incoming calls, messages, and visitor coordination. • Handle invoices, payments, and maintain records. • Prepare monthly management reports and incident reports. • Welcome guests and clients to the office. Requirements: • Minimum 2 years of experience in facilities management or a related role. • Ability to prioritise tasks and manage multiple responsibilities efficiently. • Ability to work independently and take initiative to manage daily tasks. • Confident in maintaining relationships with key stakeholders. • Prior experience in financial services or professional services is essential. This role involves being based at reception 50% of the day; therefore, candidates should be comfortable with both facilities management and reception duties.
