POSITION CONTEXT The Clinic Receptionist is situated within the Administration Services of Winnunga Nimmityjah Aboriginal Health and Community Service. The Administration Services team manages and provides advice on financial, human resources, asset and procurement, workforce and training, communications, frontline services, corporate and executive support and research services for Winnunga. LOCATION 63 Boolimba Crescent, Narrabundah, ACT 2604. POSITION OBJECTIVE The role of the Clinic Receptionist is to ensure that clients are provided with access to Winnunga Nimmityjah Aboriginal Health and Community Services. SKILLS, EXPERIENCE AND ATTRIBUTES • Ability to work independently and in a team environment. • Motivation to provide service excellence. • Good interpersonal and communication skills (written and verbal). • Ability to problem solve effectively on a day to day basis and in a crisis situation. • Ability to negotiate complex issues with clients. • Ability to identify situations where the input of other staff, such as an Aboriginal health worker, registered nurse, psychiatrist, doctor, senior manager or psychologist is required. • A demonstrated capacity to work effectively and collaboratively within a multi-disciplinary team. • Computer skills for data entry and e-mail communication. • Commitment to ongoing participation in education, professional development, evidence based research and quality assurance. DUTIES 1. Clinic reception duties: Manage the client wait list efficiently and consistent with triaging policies. Understand fully the triage policy and apply it appropriately. Maintain first aid certificate. Ensure that clients are provided with a high level of service. Manage and direct telephone enquiries efficiently and appropriately. Manage follow-up appointments under the direction of medical staff and the Practice Manager. Understand the importance of duties when assigned and complete them in a timely manner. 2. Administrative duties: Ensure that filing is done accurately and in a timely manner. Ensure that all communications are dealt with professionally and consistent with Winnunga policies and procedures. Manage patient requests for transfer in or transfer out of medical files consistent with Winnunga’s policies. Attend to administrative duties as assigned by the Practice Manager or medical staff. Demonstrate a high level of organisational skills. 3. Professional responsibilities: Maintain the highest standards of professional conduct. Participate in and contribute to the fulfilment of operational needs of the organisation as they arise. Participate in and contribute to the successful outcomes of the organisation. Work in other program areas as required by the organisation. Participate in research activities within the services as required. Demonstrate an understanding of and compliance with all Winnunga Nimmityjah Aboriginal Health Service policies and procedures. Participate in maintaining a safe working environment. Demonstrate an understanding of WH&S legislation at the level expected of a clinic receptionist. PROFESSIONAL DEVELOPMENT Attend and participate in Winnunga Nimmityjah Aboriginal Health and Community Services professional development program. Participate in an internal or external seminar, training activity or conference relevant to the position of Receptionist and as approved by The Practice Manager and Executive Director of Clinical Services. Continues to work towards qualifications relevant to the position. WORKING WITH VULNERABLE PEOPLE CHECK (WWVPC) All employees are required to provide their WWVPC registration to Winnunga, or to carry out a WWVPC pursuant to the Working With Vulnerable People (Background Checking) Act 2011 (ACT).
