What you'll do: You'll be the first point of contact, handling all inbound communications including phone calls, voicemails, and emails ensuring they're addressed the same day they're received. Utilise our internal ATS system (Vincere) like a pro, logging all activities for precise reporting and data analytics. Keep a sharp eye on our activity dashboard, maintaining it below the 200-activity mark at all times. Send out Google review invitations daily, aiming for a benchmark of 50 reviews weekly, reflecting our commitment to excellence. Guarantee the currency and completeness of all client and candidate records, keeping them meticulously updated. Greet all visitors with the welcoming spirit of Whitefox Recruitment, offering assistance whenever needed. Engage with our team, clients, and candidates with a consistently courteous and congenial demeanour. Manage incoming calls with a three-ring policy and expertly screen for and divert telemarketing attempts. Address queries from potential candidates and clients through phone, mail, and email, directing general enquiries to appropriate team members. Open and close the reception area punctually, maintaining a steadfast presence. Perform general office tasks such as cleaning, photocopying, scanning, and filing, alongside managing stationery and supply orders. Oversee the processing of daily mail, both incoming and outgoing, as necessary. Offer EA support to our consultants and management, ensuring their administrative needs are met with precision. Collaborate with the team to present a consistent and professional reception image, ensuring it remains tidy and inviting. Craft and prepare formal correspondence on behalf of consultants and management. Provide essential administrative support to team members as needed. Oversee our internal recruitment system, ensuring its relevance, cleanliness, and user-friendliness. Provide timely follow-up care to candidates and clients, ensuring no more than 3-4 business days pass since their last activity. Regularly ensure that all company systems and processes are current and faithfully followed. What you need: Possessing an exemplary level of dedication, you'll expertly manage time with minimal supervision, effectively prioritising tasks and adhering to deadlines. Adhere to a professional dress code and project a positive and welcoming image, coupled with well-honed interpersonal and communication abilities, both in writing and speech. Bring prior experience in operating a multi-line switchboard and managing front-of-house responsibilities with a history of engaging the public. Engage with clients and candidates from diverse backgrounds, exercising sensitivity and discretion, with a commitment to confidentiality and a deep respect for diversity. Demonstrated ability to tactfully navigate challenging interactions with callers and or in person visitors who may be distressed or difficult. Skilled in using Microsoft Office & G Suite, bringing efficiency and technical savvy to your daily tasks.
