Band 3 Admin Assistant needed to ensure the smooth operation of our office Your new company My client is a vital organization committed to providing legal assistance and support to individuals and groups who need it most. Your new role As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our Legal Aid office. Your attention to detail, organizational skills, and proactive approach will contribute to the efficient functioning of our team. Responsibilities: Contact Management: Maintain accurate and up-to-date contact lists for individuals and groups. Manage email, online, and hard copy contact information. Meeting Coordination: Poll participants for suitable meeting times and dates. Facilitate scheduling and confirm meeting arrangements. Diary Management: Assist with managing schedules, appointments, and deadlines. Coordinate meetings, court appearances, and other events. Correspondence: Prepare template letters and other documents. Format and proofread correspondence for accuracy and clarity. Document Management: Organize e-correspondence and some hard copy files. Scan and file documents appropriately. Ensure secure destruction of hard copy materials when necessary. Follow-Up Calls: Make phone calls to follow up on outstanding actions. Maintain effective communication with clients and colleagues. Travel Arrangements: Assist with travel bookings (no payment involvement). Ensure smooth travel logistics for Legal Aid staff. Website Maintenance: Load and amend documents on the National Legal Aid website. Ensure accurate and timely updates. What you'll need to succeed Attention to Detail: Precise record-keeping and thoroughness are essential. Organizational Skills: Ability to manage multiple tasks efficiently. Communication: Excellent verbal and written communication skills. Tech-Savvy: Proficient in using office software and tools.
