About the Role: We are looking for an experienced Sales Office Admin Support Professional to join the Gore Medical Administrative Function. This role will require advanced administrative support skills, excellent customer service, solution-oriented thinking, an ability to design and implement process improvements, and collaboration across multiple disciplines and teams. This role will be located in our facility in Sydney,Australia. Responsibilities: Engage with and support internal and external customers in a variety of ways: in-person, virtually, within secure Gore facilities; locally and globally Anticipate and proactively assist with administrative tasks: manage calendars, coordinate travel, schedule and coordinate conference rooms and equipment, generate, proofread and distribute correspondence, communications and reports, ensure data and intellectual property confidentiality, maintain databases, prepare and edit presentations, track and file expenses, maintain files (electronic and physical) and answer and direct calls appropriately Ensure timely follow through and completion of tasks, projects, communication, and correspondence while utilizing current technology, tools, and platforms/systems to support your team(s) Coordinate both in-person and virtual meetings and special events with the following: meeting logistics, agenda and content creation, general meeting support, meal ordering/coordination, technology platforms and audio/visual coordination, travel management, facility and/or external venue accommodation, etc. Anticipate and evaluate the needs of team(s) and projects; respond with proactive and creative solutions to requests Adapt to ever-evolving business needs and be able to change direction with cooperation and flexibility Implement, coordinate, and participate in process improvement initiatives Collaborate with diverse teams and communicate complex information across teams Develop a strong network and partnerships; leverage relationships with your teammates to move business processes forward Professionally represent Gore and work effectively as part of a global team Required Qualifications: Minimum 3 years of experience in one of the following roles: administrative support, executive assistant, receptionist, professional teaching, or customer service focused role Technology experience in advanced knowledge in Microsoft Office including email and calendar management; demonstrated knowledge in other software and data management tools; ability to learn and implement new tools and technology Project management and coordination in demonstrated experience in project follow through, managing multiple priorities and creating deliverables Communication skills in demonstrated ability to effectively communicate through telephone, written communication, verbal, virtual and in-person Customer service and professionalism in demonstrated ability to maintain confidentiality, discretion, adaptability, and exercise independent judgement Strategic and proactive administrative support in demonstrated ability to prioritize, solve problems, strategically coordinate and collaborate to meet business needs with high attention to detail, organization and self-direction Diversity, Equity and Inclusion in demonstrated ability to provide approachable, engaged and self-aware support to global Associates Ability to travel up to 5% of work time between local facilities and/or occasionally to off-site meetings or events Desired Qualifications: Relevant accredited professional certifications Knowledge in additional apps/platforms such as Microsoft Teams, SharePoint, Forms, Lists, Power BI, Planner, PeopleSoft, Mural, Canva, etc. What We Offer: Our success is based on the capability and creativity of our Associates, and we are proud to offer a comprehensive and competitive total rewards program that supports your everyday and helps you build your tomorrow.
