As the director of first impressions, this role will ensure the smooth running and coordination of all office administration management activities. Your duties will include, but may not be limited to: Maintain office space and amenities, ensuring our workplace is always looking tidy, professional, and ready to receive guests at any time. Answer the telephone, greet guests, organise meetings and functions. Prepare the meeting and Boardrooms for management meetings. Ensure technology is working in advance. Manage car park and building access requirements. Distribute incoming / outgoing mail and arrange all couriers. Monitor and order consumables (tea/ coffee / stationery / crockery). Assist with new staff on and off-boarding processes, including accepting and recording hardware returns. Provide office inductions for new starters and ensure they are well informed, know where office amenities are, emergency procedures and know who to contact should they have any questions. Organise meetings, functions, conferences, training as required. Manage access cards/ lockers for building and maintain access card register. Booking travel for staff through travel management system. Brief NRI M&C Team on any office requirements where creative assets or Office communications are needed – such as branded documents, posters, signage etc. Follow the required approvals processes for any Office Communications and help to ensure strong brand governance amongst the wider NRI business. Ensure the wider NRI Marketing & Communications Team are aware of any initiatives happening in region. Regularly provide updates in Team meetings. DESIRED EXPERIENCE Advanced MS Office skills Previous administration and experience Professional presentation with excellent written and verbal communication Dedicated and competent with organisational skills and excellent interpersonal skills All-rounder – someone who enjoys working on many different things Anticipates people's needs and is proactive in managing others Positive and operates with high-energy Will get in and get the job done, whatever it is High attention to detail Understands the importance of, and maintains confidentiality Able to work Monday - Friday 0830 - 1700.
