Event Administrator — Melbourne, Melbourne Region

The Event Administrator is a key role in the portfolio team with the key focus of onboarding exhibitors. In this role the Event Administrator will be working with other Event Executives and Portfolio Director, assisting with administrative duties, exhibitor queries and also be required to work on-site at specific shows to assist with the successful delivery of the shows. This is a 9-month contract position. About Us ETF is a full-service conference and exhibition organiser with over 30 years' experience in trade and consumer exhibitions, conferences, and events. Primary Responsibilities - Work on content programs, securing confirmed speaker biographies, photos and presentation details. - Assist in delivery of show features and work with these partners preshow to deliver success partner outcomes at the show. - Ensure clear and accurate communication with all stakeholders. - Help to co-ordinate and formulate the creation and printing of any Show Conference or Exhibition. - Support Operations in any tasks and responsibilities that maybe be required onsite. - Communication and correspondence with exhibitors for any given exhibition, either verbally or in written format both pre show and post show. - Attend pre-event, onsite and post-show meetings with appropriate exhibitors, sponsors and associations and produce accurate notes of meeting including Action Items. - Ensure that all exhibitor contracts are recorded and entered into the system once the Sales Executive has finalized the sale with the exhibitor. - Assist with each individual show budget under the direction of the Portfolio Director to ensure it is up to date and accurate. - Liaise with the Sales Team and Accounts Team to ensure invoicing process is managed effectively. - Liaise with the Operations team with the formulation of all exhibitor lists. - To maintain accurate records of all exhibition invoices and assist Portfolio Director and Event Executive in the reconciliation of accounts pre- and post-show. - Raise Purchase Orders as required for event resources. - Manage the sponsorship and partners deliverables spreadsheet and ensure delivery to timelines.
