Service Administrator Grow with us Our Mackay Branch is looking for a Service Administrator to join our expanding team at our Mackay Workshop in QLD. Reporting into the Workshop Manager you will be accountable for provision of day-to-day administrative support to the Service Department and Operations. The prime focus of this role is accuracy in documentation across the full cycle of work orders, projects, purchase orders, inspection reports, and service work history of equipment in the service department daily. About You • 2 years’ experience within a Service Administration or Coordination role preferred. • Intermediate or advanced MS Outlook, PowerPoint & Excel • Pronto or other ERP operational experience • High proficiency in Microsoft Office 365. • Experience in completing purchase requests and job packs. • Completion of internal and external work requests • Data entry and archiving and scanning. • Understanding of statutory requirements, plus confidentiality as per company policy. • Current drivers’ licence • Communicates professionally and effectively to all stakeholders (internal and external). • Proactive, highly motivated with a collaborative team-orientated mindset. • Effective time management and organizational skills • Excellent verbal and written communication skills essential. • Ability to multitask, prioritise with excellent time management skills. Key Responsibilities • Assist with work order creation/costing/closure. • Project information inclusive of job/segment specific targets hours/durations/costs and status captured. • Capture labour costs by way of time sheets entry for BTP employees and subcontractors by project segment • Processing employee documentation on startup and demob from facility by way of updating CMS and INX records. • Employee timesheets and absences are entered in accordance with policy. • Assist with the completion of internal monthly reports and submission as required. • Create and issue POs for external services • Raise commitments and assign to projects/jobs. • Process credits and returns to stock. • Establish and maintain filing systems. • Archine records in line with business standards • Assist other areas and departments in line with business needs.
