About the Role: The Administration Assistant is accountable to the Operations Manager for the delivery of a wide range of administrative and office support activities. You will also be responsible for ensuring that the goals and objectives of the company are achieved, consistent with corporate policy and direction. This position is a full-time opportunity and will be based in Mackay, QLD. This role will also require you to: Answer, screen and transfer inbound phone calls. General clerical duties including but not limited to photocopying, scanning, faxing, and mailing. Maintain electronic and hard copy filing system. Maintenance & review of controlled documents Follow up of overdue CAR's and NCR's Auditing and filing of Job files Maintaining CRM files Assist with Internal Audits Assist with relevant supplier documentation Provide administration support to the Operations where required Maintaining Test and Tag registers (Machines & Reports) Contractor Induction Register including checking of insurance statuses Ensuring Maintenance register is up to date and liaise with relevant persons for up to date and completed documentation Ensuring employee certificates & licences are up to date. Create office SWMS Assist the Safety Officer where needed Provide support to Payroll when needed Handle requests for information and data. Prepare, create & modify documents including presentations, correspondence, reports, drafts, memo’s, and emails. Schedule and coordinate meetings, appointments, and travel arrangements. Record, compile, transcribe and distribute minutes of meetings. Coordinate and maintain records for staff, telephones, and petty cash. Conduct research on the Internet when required General cleaning & maintenance duties of the upstairs conference rooms. Cleaning of the company coffee machine Weekly trips to the shops to check company PO Boxes, bank deposits and collect office supplies. Provide Back up support for the reception area when required Support and maintenance of travel & accommodation booking when required Undertake any other Administration duties as requested by the Operations Manager. Our Ideal Candidate: This position is ideal for an adaptable all-rounder with sound knowledge of Accounts. The ideal candidate will have the following: 2 years’ experience in an Administration position or equivalent combination of education, experience, and training. Knowledge of PRONTO ERP and Redmap Accounts Payable tool would be desirable but not essential. Valid Australian working rights.
