About the role We are seeking an experienced operations admin professional to assist our operational leaders with co-ordinating administrative and scheduling tasks. The Site Administrator will operate in a dynamic, confidential environment which requires discretion in balancing priorities, organising meetings (minutes and actions), processing invoices/PO's, undertaking projects to streamline processes and completing tasks within challenging timeframes. At times, you will have competing demands and will need to prioritise these demands to achieve the best outcome for the business. The key focus areas will include safety, administration management and support, continuous improvement and people & relationship management with duties including: Provide high quality administration support and services to the regional team. Assist with the day-to-day general operations of the offices/depots. Co-ordinate approved sponsorship activities for the region. Support accommodation and travel admin for the Operations Team in the region. Coordinate and maintain the document and data control process including databases and registers related to the operations in the region. Arrange functions and meetings, including invitations, venue bookings, equipment hire, and catering requirements. Assist in maintaining calendars for Regional Manager. Processing the management correspondence, including preparing replies to routine and relevant correspondence on behalf of the Regional Manager. About you To be successful in this role you will thrive working in a fast paced, dynamic environment supporting multiple stakeholders. You will always be a step ahead ready to deploy your contingency plan should it be needed. As a natural communicator you will quickly develop rapport with your team and give them the confidence that you will deliver and meet deadlines. An ability to adapt your style will be important as you will have touchpoints across all levels of the organisation. Finally, you will be down to earth and always willing to roll up your sleeves. In additional you will need: Current drivers' licence Proven experience providing team administration support, ideally in a heavy industry or operations environment. Proficient skills using Microsoft Suite, especially Teams, Word, PowerPoint, and Excel Strong communication skills to communicate with a cross section of employees and suppliers. Excellent planning and organisational skills, including the ability to prioritise tasks and meet deadlines. Demonstrated experience to deal with confidential information professionally and discreetly. Strong initiative and problem-solving skills to be able to work autonomously.
