Administrative Assistant, Clerk Grade 1/2 Salary package of $70,694 - $76,857 per annum plus employer’s contribution to superannuation and annual leave loading Temporary, full-time role until 31 December 2024 Located in Ku-ring-gai Chase National Park, Bobbin Head. Working to protect the state’s environment and heritage About the role As an Administrative Assistant, you will provide administrative and support services to facilitate the operation of a dynamic team working to enhance conservation values across the Greater Sydney Branch. The role provides office-based administrative support and quality face-to-face customer service through a use of various technologies. You will work closely with office & field staff and undertake financial transactions including creating purchase orders & processing invoices, basic financial reporting, coordinating contractors and roster & fleet management. You will support internal stakeholders across Greater Sydney Branch with any general enquiries, prepare various reports for senior staff and managers, assist with organising training, meetings, and travel, managing shared mailboxes, calendars and resources and provide support during incidents such as bushfires. You will assist in meeting the Agency’s corporate objectives, ensuring compliance with organisational policies, processes and procedures, audit, and statutory requirements. This includes tasks such as using Content Manager (CM) for records management, maintaining minor assets registers, assist with WHS and leave audits, taking meeting minutes, be inclusive & show respect in all interactions. About you To be successful in the role, you will have: Experience managing competing demands and maintaining high attention to detail to ensure administrative support is provided in a timely and efficient manner. Ability to communicate (written & verbal) & work collaboratively with office and field colleagues, senior managers, maintenance contractors, the general public & other government organisations. Experience in general administrative tasks such as ordering, purchasing, filing, mail and correspondence, creating and storing physical & electronic documents, maintenance of office equipment and overseeing stores and stationery levels. Experience providing high-quality service, responding to a wide range of enquiries, assessing incoming tasks, and adjusting priorities. Understanding of budgeting, purchasing, financial processes and reports. Willingness to support incident management teams during high pressure situations such as bushfires. Ability to learn and use multiple software systems including Office 365, Teams, Content Manager, SAP, MyWorkZone and finance software. Essential requirements Experience in administration including the use of computer-based systems such as word processing, spreadsheet and records management and records management systems. Knowledge of financial and human resource management procedures, policies, and practices.
