About the role Located within the CEO Office, the position of Lead, Board Committees and Administration will report to the Chief of Staff and be responsible for providing administrative and strategic support for Board Committees and other Board-related events. You’ll act as a conduit and must be able to provide a high level of confidentiality; maintain relationships with stakeholders; and represent VicHealth in a professional manner at all times. Board-related meetings are primarily held on Tuesdays, Wednesdays or Fridays so the successful candidate will be required to work these days and be in the office when Board meetings are held. Meetings are held during business hours, however, the candidate will be required to be flexible with these hours according to business requirements. Key responsibilities Providing key administrative and strategic support for Board Committees and other Board-related events as required, including drafting and distributing agendas, taking minutes, preparing correspondence, coordinating the calendar of Board Committee agendas and supporting day-to-day communication with Board Committees Providing selective administrative support to Board Members and Board Committee Members for VicHealth events, as directed by the Chief of Staff Liaising with the Lead, Board and CEO Support to provide strategic advice and coordination support to the Executive Team on Board and Board Committee items Supporting events and activities in the CEO Office, including through administrative support and project management. About You We’re looking for someone who demonstrates previous experience in a similar administration role, and who can demonstrate excellent organisational, prioritisation and time management skills in a fast-paced and complex environment. You will have worked with senior executives and with Board & Board Committee members. Agility, initiative, and a proactive working style will set you up for success in this integral position. Additional qualifications and experience Relevant qualifications in a relevant field/discipline are preferable Demonstrable experience working as an Executive Assistant in an Executive or Chief Executive Office Experience working closely with Boards and Board Members is highly desirable Experience working within the health, community, or government sectors is desirable Exceptional communication, stakeholder management, organisation and negotiation skills High competency with Microsoft Office.
