The Rockhampton Grammar School Dance and Musical Theatre Academy (DMTA) provides professional tuition from state-of-the-art dance studios on the main school campus. The DMTA currently has an exciting opportunity to welcome a part-time, term-time Administration Assistant to our team. This part-time position requires the successful applicant to work 20 hours per week (1:00pm to 6:00pm). The DMTA is open to the whole community and welcomes students who attend RGS, as well as students who do not attend the School. Boys and girls aged from 3 years, can participate in a range of classes in the various facets of dance and drama under the guidance of fully qualified, experienced and talented staff. KEY DUTIES AND RESPONSIBILTIES The Administration Assistant is responsible for administration support for the Dance and Musical Theatre Academy in order to ensure effective and efficient operations. This will include general administrative duties, being front facing and a point of communication in the DMTA foyer, and liaising with parents and students and the parent support group of the DMTA. Duties and responsibilities include, but are not limited to: All aspects of the DMTA student database, including student enrolment, timetabling, and parent accounts (including following up on overdue accounts); Email Organisation; Maintaining up to date records; Attending to parent enquiries; Scheduling trial classes for potential new students of DMTA; Maintain confidentiality of information; Assistance with general office duties, including: Filing; Photocopying, binding and collating documents; Updating documents and resources electronically; Mail outs; General word processing and spreadsheet work; Typing of correspondence, reports and other documents; Communicating with dance related organisations such as ADA, RAD, AMEB, NDAA, guest tutors and choreographers, dance companies, costume suppliers; Ordering supplies and costumes; Basic design and printing of various documents; Organising travel and accommodation for visiting specialists; Managing the DMTA Facebook Page; Any other duties as reasonably requested by the Head of DMTA. REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE Dance experience preferred, but not essential; Social media marketing experience preferred, but not essential; Administration experience is required; Previous exposure to receipting purchases will be highly regarded; Proficient in the use of the Microsoft Office Suite – Word, Excel, Power Point; Experience with, or ability to learn, DanceBiz; Good understanding of general financial procedures, including purchasing, debtors, and banking processes; Knowledge of the dance industry and offered styles; and Excellent communication skills, both oral and written; Very high level of accuracy and attention to detail; Excellent time management skills. CONDITIONS OF EMPLOYMENT The successful applicant will be subject to a “Working with Children Check and Criminal Records Check” where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks, qualification check and professional registration checks.
