Our opportunity As a PMO Administration Manager, Capital Works, you will provide direction, and support to the Major Capital Works PMO team, ensuring governance, compliance and alignment with the endorsed Capital Works methodology. Your responsibilities will include: Provide the support and management of the monthly claims process ensuring compliance with key internal/external stakeholders and the processing of circa $8-$10m p/month. The PMO team raise all PO's, facilitate the allocation, approval and payment of invoices, and maintain project tracking spreadsheets for visibility across budget/committed cost/actuals and cumulative Capex fees. In consultation with the National Capital Work Manager Lead & drive the utilisation & compliance with the Capital Works methodology, processes, and documentation across the business. Ensuring compliance with the end-to-end contract admin process for all Consultancy Agreements and Principal Contracts. Including the execution process and safekeeping/retrieval of Bank Guarantees, managing a centralised register of live contracts across the Capital Works program. Develop & manage the Capital Works PMO Core Services (aligned with Capital Works methodology) this included but not limited to: Project setup and budget release Monthly claims & reporting process Document management & SharePoint Tracking spreadsheets and data analysis Project closeout and claiming of capex fees Systems admin (SME's in MEX, Basware & MRI) Develop & manage the Capital Works annual Capital Works Program Management this included but not limited to: Monthly reporting to provide visibility and tracking of circa $140m under our management Continuous improvement of our processes to create efficiency and consistency across the program Engagement with key internal stakeholders to align with business initiatives and upcoming changes Management of capex projects shared mailbox Mirvac NOW & NEXT - Lead the Capex activities within these projects Provide leadership to the Capital Works PMO team, ensuring alignment with all strategic objectives, values and governance requirements. Adhere to all company procedures including but not limited to adherence to the Mirvac HSE system of accountabilities as an employee. Meet the requirements outlined in the HSE Roles and responsibilities procedure. Your point of difference To be successful you will have extensive experience working in a project/program/PMO office. Whilst holding project management or equivalent tertiary qualifications. MRI experience is essential, Yardi experience is highly desirable. Demonstrated experience supporting and mentoring a project support function, along with people management skills and the ability to influence collaborative and productive stakeholder relationships is desirable. Finally, you will have sound strategic planning, high level analytical and problem-solving skills. As well as being capable of concurrent problem solving, management of complex issues and knowledge of HSE&S, DDA and another risk management regulations.
