Our opportunity The primary purpose of the Capital Works PMO Administrator is to streamline coordination and support within Mirvac's Capital Works framework, ensuring effective communication and collaboration among stakeholders. By aligning with Program Managers and internal teams, the role facilitates seamless project processes, from brief sign-offs to contract administration and financial tracking. Meticulous attention to detail ensures accurate documentation maintenance and adherence to internal procedures, contributing to operational efficiency and successful project outcomes. The Capital Works PMO Administrator serves as a central point of contact for procurement, invoice management, and payment queries, fostering collaboration between Capital Works Program Managers, external PMs, and Mirvac's internal support teams. Additionally, it plays a crucial role in building and nurturing collaborative relationships, gathering business requirements, and facilitating proactive issue resolution. Upholding Mirvac's policies and procedures, to deliver high-quality outputs within tight deadlines, while also being flexible to assist with additional projects or duties as needed. Your responsibilities will include: Align with the major Capital Works Framework supporting the Capital Works Program Manager's, External PM's and internal Mirvac teams. Facilitate the project brief and business case sign off process and ensure all documentation has been provided to raise budget in MRI. Process variation requests and ensure sign off by relevant DLA Administer project financials and maintain documentation Provide support to Capital Works Program Manager's and external PM's on procurement, invoicing, and payment queries, liaising with Mirvac internal support team (Property Accountants, AP, Finance, Vendor Maintenance, Procurement) Ensure Program Management Office (PMO) project files are document controlled and all approved/signed documents are in the correct folder locations Maintain all excel tracker workbooks for project financials, invoice processing and budget release Facilitate the contract admin process Maintain the shared capex project mailbox ensuring all requests have been actioned and organized into correct folders Administer the project closeout process and capture contractor performance feedback in SharePoint Register Build collaborative relationships with internal and external stakeholders to ensure proactive management and resolution of issues Drive engagement with various internal stakeholders to gather function business requirements Adhering to Mirvac policies and procedures and internal reporting deadlines and providing accurate and high-quality outputs, and quick responses to requests for information Your point of difference Relevant tertiary qualification Exceptional internal and external relationship and stakeholder management skills with a strong commercial outlook A proactive and self-motivated approach with the ability to solve problems, improve system and procedural efficiency and effectiveness, and resolve issues as they rise A team player attitude with the ability to work independently or as part of a team, multitask and adapt to change, and a willingness to be flexible Exceptional administration, time management and organisation skills with strong attention to detail A collaborative, professional and empathetic approach to dealing with all stakeholders and tenants Exceptional communication and interpersonal skills Ability to maintain confidentiality and discretion in relation to asset information A willingness to learn and provide an innovative approach All of these attributes are preferred, if you think you may be the right fit for the role please still apply.
