We are currently looking for Administration Officer – Parks & Environment on a temporary basis working 62 hours per fortnight. Ideally working 5 days per week, four (x4) 6-hour days with a 30-minute lunch break (start time 10.30am, finish time 5pm); and one (x1) 7-hour day with a 30-minute lunch break (start time 9.30am, finish time 5pm). The candidate rate is $43 per hour. The assignment will for approximately 2 months, and we are looking for an immediate start. Role Purpose: To provide efficient administrative support in a range of areas relating to the effective operation of the Parks and Environment Department. Key accountabilities: Undertake administrative duties and provide clerical support including basic research to the Parks, Leisure and Environment Department and the Manager Parks, Leisure and Environment in particular Undertake typing and processing of various reports, memorandums, correspondence and other associated tasks as required. Assist in registering and controlling inward and outward correspondence in ECM and Pathway including developing templates, generating and distributing customer requests, undertaking records searches and providing support to officers as required. Answer incoming calls to the Parks, Leisure and Environment Department responding to general queries, taking phone messages or transferring customers to the appropriate Officer for action, as required. Assist with agendas, notes and meetings and preparation of Powerpoint presentations for the Department as appropriate. Assist with scheduling appointments and diary management for officers in the Department and the Manager Parks, Leisure and Environment in particular. Monitor and report on relevant statistics as required and in particular, Departmental key performance indicators and Pathway customer request data. Maintain and update the Departmental information on the City’s Website and on BelNet as appropriate eg information sheets, application forms, information etc. Follow and comply with all Work, Health & Safety and Environment policies and procedures to ensure personal safety and the safety of others is maintained at all times, including the reporting of unsafe practices or hazards to supervisors or WHS Representatives, whilst protecting the environment and ensuring prevention of pollution. Actively seek and report on methods of improving systems of work, policies and practices, to ensure the continuous improvement of the City’s Business Management System. Carry out other duties within the scope and level of this position, as directed by the Manager Parks, Leisure and Environment. Requirements of the Job: Previous relevant administrative experience preferably working within a technical environment. Good interpersonal skills with the ability to communicate with a wide range of people to ensure delivery of a high level of customer service. Effective organisational and administrative skills with proven ability to effectively prioritise multiple tasks to meet strict deadlines. Proven high level skills with computer applications, in particular the Microsoft Office suite of products (ie Word, Excel, Access and Outlook) and preferably including experience with an electronic Records Management system and specialised technical programs. Ability to work effectively both as a member of a team and independently with minimal supervision. Ability to exercise initiative and good judgement when required. Proven ability to apply the appropriate level of discretion and confidentiality to the role. Possession of, or the ability to acquire, a satisfactory National Police Clearance Certificate (dated within the last twelve months).
