Senior Administrative Assistant — Sydney Region, New South Wales

Let’s talk about the team: position has high level of responsibility and impact. Primarily work with the Supply Chain Leadership Team in planning, organising tasks, scheduling, reporting, coordinating activities and collaboration across multiple time zones and geographies. A key success factor of this role is having a strong understanding of the Supply Chain Team’s core responsibilities, strategies and execution priorities. This will enable the person in this role to anticipate the needs of the business leaders (travel, calendar scheduling, team communications etc) to enable the business leaders to perform their roles more efficiently and effectively. Let’s talk about the role: Provide a broad range of administrative and event management duties for the Supply Chain business leaders including but not limited to: Arrange travel plans, itineraries, meeting agendas and other documentation for travel related meetings; Support key communication programs and coordinating staff functions and events; Assist in coordinating the agenda of senior management team meetings, off-sites and all-staff meetings Coordination of activities between Supply Chain departments, ResMed functions and outside parties including suppliers and industry groups. Passionate about demonstrating a good service level for your work by being proactive, take ownership, following up to closure, anticipating needs and going extra mile Build positive internal and external relationships and network with employees at all organizational levels. Assist in organizing and coordinating communications, meetings and events with suppliers Preparation of reports, presentations and spreadsheets, and analysis of problems, determination of approach, compilation and analysis of data. Expense management and reconciliation Partner and support the Supply Chain team members for maintenance of meeting agenda/activities by providing on-going project management assistance. Team up with global/regional administrative staff members to develop enhanced rapport and cooperation across the broader global and divisional functions Ensure that systems are up-to-date and accurate including but not limited to all actions such as emails, meeting minutes, appointments and miscellaneous documents are of high quality, being recorded accurately and produced on time. Proactively exploring opportunities to add value to the role and taking initiative and ownership of projects and managing stakeholders. Explore and adopt the use of digital tools to enhance team work and communication Managing or contributing to assigned projects and other duties as required. Let’s talk about you: Minimum 5 years related experience in a similar role managing across multiple executives, preferably 5 to 10 years of experience in a role supporting senior management. Experience in operating in international/global businesses across cultures and time zones Desirable to have had experience in Healthcare/technology/manufacturing sectors High level of professionalism and demonstrated ability to handle confidential information Self-starter, self-motivated and resourceful to take smart risks to achieve business goals and customer experience Ability to take creative and flexible approaches and be solution-focused. Strong communication, collaboration, co-ordination and organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail Excellent verbal, written, presentation and follow-up skills Technology proficiency in using technological tools/devices for collaboration, project management and communications.
