What this opportunity involves: Barkly Square Shopping Centre is a bustling retail destination located in the heart of Brunswick. Our mission is to provide exceptional shopping experiences for our customers while offering a vibrant and dynamic environment for our retailers. We are currently seeking a highly skilled and motivated Administration Manager to join our team and contribute to the continued success of our centre Reporting directly to the Centre Manager, the Administration Manager will be responsible for overseeing and coordinating a variety of administrative tasks to ensure the smooth operation of the shopping centre. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. An overview of the role: Manage reception duties including answering calls, handling customer and tenant inquiries, and taking messages Process incoming and outgoing mail items, including courier bookings Maintain and update key registers for the portfolio of properties Coordinate and maintain the Lease Administration process, including collection of necessary documentation and communication with relevant stakeholders Enter tenant requests into the Helpdesk system and ensure accurate maintenance contract and tenant details are recorded Maintain and update all centre databases, including emergency services, after-hours contracts, and contact lists Assist in managing cleaning and security contractors, ensuring works are authorised and completed as required Prepare monthly compliance records and risk reports Review and process monthly rent roll changes, ensuring accuracy and compliance with relevant leases Oversee the collection of monthly rent and develop effective communication flow with tenants to minimise and control overdue debt Coordinate with the finance team for coding invoices and ensuring timely issuance of outgoings budgets and statements Assist in legal matters, including meeting with solicitors and managing bank guarantees Ensure proper cash receipting procedures and compliance with relevant legislation Sound like you?
