Your new role Reporting to the Manager, Workplace & Property, this role is responsible for the management of end-to-end Workplace Experience across the portfolio of offices, in particular the accountability and responsibility for Melbourne & Sydney front of house spaces. This role also oversees the administration for the outsourced arrangements with the Integrated Facilities Management (IFM) for the Fund including financial, governance, reporting, risk and resourcing management. Some key responsibilities but not limited to; Fund Property Strategy - Contribute to the preparation of the Fund's short, medium, and long-term accommodation and strategic plan as required. Workplace Policies & Standards - Manage the drafting of and implementation of Workplace & Property related policies and procedures, supporting operationalisation and continuous improvement at regular intervals. Oversee the identification and reporting of key operational risks and log incidents as appropriate within enterprise systems. Monitor and report on incidents (particularly if safety related), track and manage agreed action items to completion. Compliance - Ensure that we operate compliant offices and feed into ensuring that obligations are closed out as required. Workplace and colleague experience - develop relationships with internal stakeholders and look for strategic and innovative ways to broaden the Workplace Experience offering and ensure seamless processes to continuously improve external visitor, member and employee experience. Vendor Management - Manage the relationship for key vendors, including the tracking of key performance indicators and service level agreements in accordance with relevant Contract Management Plans. Proactively engage with internal stakeholders, external clients, and vendors to develop and maintain strong relationships. Build strong positive relationships with colleagues across all levels of the Fund interacting with the Workplace function What you'll need Demonstrated background in commercial real estate/facilities management (or a function with similar complexity). Adequate knowledge/technical understanding of building operations, technologies, building services, and asset maintenance. Experience developing and implementing facilities related policy and procedures. Vendor management experience. Strong working knowledge of facilities related WH&S. Analytical and innovative problem-solving skills not only for the immediate problem, but also to look forward and identify other potential problems or additional consequences. Good interpersonal and communication skills and the ability to work across the Fund to gain cooperation and meeting timelines. A focus toward continuous improvement and innovation.
