What you'll be doing The Administrative Assistant provides a broad range of high level organisational and administrative support to the Director of Nursing (DoN) – Randwick, to support and enable focus on achievement of the directorate program of work and efficient delivery of business operations. The position will provide administrative support for projects and services and high level secretarial support for Nursing Directorate committees, as well as other specific functions related to the Nursing Directorate. The position is required to develop and maintain effective office systems and procedures and ensure high professional standards. The Administrative Assistant will work closely with the Executive Assistant to the Network Director of Nursing, Midwifery and Education (DoNME) and will from time to time be delegated work within the scope of their role. Previous recent experience working in a senior administrative role in a tertiary health organisation; and broad knowledge of the public health system in NSW. Proven ability to work in a high volume and demanding environment with excellent time management skills, including the ability to organise, plan and prioritise a high workload in order to meet deadlines to ensure effective service provision; responding appropriately to changing circumstances where necessary. Demonstrated excellent interpersonal and well developed communication skills (written and verbal) with the ability to communicate with all levels of staff and external parties. Demonstrated initiative, analytical and problem solving skills and the ability to source, collate, prepare and format information with excellent attention to detail and proof-reading skills, including high level written correspondence, briefs and confidential reports. Demonstrated ability to prepare and collate reports of project status / outcomes and executive summaries. Demonstrated ability to work autonomously and independently with minimal supervision within constraints set by the line manager and as part of a team. Demonstrated competency and advanced skills in Microsoft Office suite including Outlook, Word, Excel and PowerPoint; intranet/internet searching; electronic TRIM filing system; HealthRoster system; Human Resources Information System (HRIS) (including online recruitment (ROB) and iProcurement applications); with a willingness and ability to readily develop proficiency with new systems and programs.
