Easy Authoring is looking for an Admin Assistant to provide administrative support to the Legal team of an established Government department. Contract role till June 2024 with possible extension. Hourly pay rate up to $42.26/hour Super. 7 hours a day. 35 hours a week. Work location: Sydney CBD PURPOSE OF THE ROLE: You will be responsible for providing administrative support to the Legal teams with the Legal, Privacy & Internal Audit Branch including providing administrative support to lawyers, coordinating administrative processes (including invoicing), contributing to allocated projects, and identifying opportunities for process improvement. KEY ACCOUNTABILITIES: Provide a range of administrative support across the Legal teams including electronic document management, meeting coordination bookings, diary management, answering phones via group-pickup and taking comprehensive messages, distribution of correspondence, training, and travel coordination, procurement of office equipment and deliveries. Create new matters on the Legal team’s matter management system and update status reports to support timely and efficient processes internally and with external providers. Create and maintain electronic files and documents in accordance with records management procedures to enable efficient retrieval of information and develop tools and processes to support best practice record-keeping practices and generate efficiencies. Undertake procurement activities including raising purchase order requests for goods and services, reconciling and processing invoices for payment. Provide support through the review of accounts, administration of budgets, and monitoring of expenses. Support business process improvement initiatives and undertake ad-hoc projects to contribute to the development of the Branch Operations team’s clerical and administrative capability. Provide word processing and document formatting support using appropriate technology and available software for the preparation of documentation for members of the team. Provide support to the legal team members in relation to use of technological tools and platforms used by the Branch in their practice management activities. ESSENTIAL REQUIREMENTS: Demonstrated experience in providing clerical and administrative services with high-level attention to detail and the capacity to complete several tasks concurrently. Demonstrated ability to exercise discretion and maintain confidentiality on sensitive issues. Demonstrated numeracy skills, experience in document formatting, word processing, maintenance of basic spreadsheets, and use of database software applications, including using electronic communication tools, and task tracking systems.
