Eden Ritchie is seeking a Senior Administration Officer to attend to administrative tasks, with a specific focus on coordinating and processing all correspondence for the Division. This role will also provide professional advice and support to Division staff, including the executive team, on correspondence related matters. 5 weeks contract Brisbane CBD location As the Senior Administration Officer, your key responsibilities will include: Autonomously and proactively assign, track and monitor all incoming and outgoing correspondence for the Deputy Director-General, Division and the broader division. Review and edit outgoing correspondence to ensure a quality product which is compliant with departmental guidelines. Coordinate and manage requests for information from the Deputy Director-General, Division, the Minister for Department and Ambulance and the Director-General. Co-ordinate and manage requests for information, briefing notes, correspondence and advice on behalf of the Division. Review, develop, evaluate and improve Divisional correspondence systems, processes, procedures and guidelines. Liaise, negotiate and consult with the senior management and officers across the Department to ensure correspondence is completed in a timely manner. Build and maintain strong working relationships with key stakeholders, including staff of the Office of the Director-General and Cabinet and Parliamentary Services. Support in the development of clear communication tools to inform staff of correspondence processes and standards. Prepare and produce statistical reports on timeliness and quality of correspondence. Maintain databases, document management systems and filing systems to enable the provision of management information within the Division. Maintain sensitivity and confidentiality during all interactions and liaisons with clients. Provide general administration support (as required) to the Office of the Executive Director or Office of the Deputy Director-General, Division. The successful applicant will demonstrate: Demonstrated experience in effectively managing high volumes of incoming and outgoing correspondence, including editing and attention to detail. Demonstrated ability to work to multi-task and work to tight and competing deadlines. Demonstrated communication and interpersonal skills and ability to develop and maintain effective relationships.
