PRIMARY RESPONSIBILITIES Receive incoming calls, identify caller needs and direct to the appropriate extensions. Where calls cannot be immediately referred or are unanswered, take messages and communicate to the relevant personnel in a timely manner. Receive visitors at the reception area and handle appropriately. Where a visitor is to proceed beyond the reception area, they are to be recorded in the visitors' book and handed visitors' badge. No visitor is to enter NOV premises unescorted. Receive and sort incoming postal, faxes, courier and overnight bag deliveries, open mail not addressed by department or individual, and place in the respective boxes. Prepare and record outgoing mail, including overnight bags to branches and international express packages. Envelope and mail invoices, credit notes, purchase orders and other mail as required. Make courier and taxi bookings and maintain Administration attendance record. Type letters, memos and other documents for Administration Department personnel as required. Assist with accounts payable and receivable data entry when required. Perform such other duties, relevant to the position, as may be necessary.
